Organising a business move in Belgium : advice and costs

Offices to clear on a Friday, servers to unplug, teams back at their desks on Monday morning : a business move leaves very little room for improvisation. Unlike a residential move, every hour of downtime here turns into lost business. In this article, we take you through it step by step : how to prepare your project, which local constraints to plan for in Belgium, what really drives the price and how to keep disruption to your business to a minimum.

What is a business move?

A business move means moving everything your teams work with to a new address : furniture, IT equipment, archives, stock and equipment. It differs from a residential move on three counts : your operations have to keep running, the equipment is often sensitive, and the project involves many parties (management, IT, HR, the building owner and your suppliers).

When a warehouse, a point of sale or a full site is involved, you are transferring a site to a new address (often called a business relocation), with the same logic and the same preparation.

How long does it take to prepare a business move?

Allow two to six months for a mid-sized office move, and longer for a warehouse or an industrial site. That timeframe is not a luxury : it covers finding and fitting out the new premises, giving notice on your lease, ordering furniture, preparing the IT and briefing your teams.

A realistic schedule looks like this :

  • 90 days before the move : appoint a project owner, confirm the new premises and notify your current landlord in line with your lease.
  • 60 days before : run the inventory, request quotes and lock in the moving date.
  • 30 days before : brief your teams and clients, plan the IT and book access and parking spaces.
  • 7 days before : hand out the boxes and the labelling plan, and confirm timings with your mover.
  • Moving day : oversee loading, transport and unloading area by area.
  • The day after : test the installations and update your details.

The 6 key steps to a successful business move

1. Appoint a single project owner

A move without a pilot always drifts. Appoint one point of contact, often the Office Manager or Facility Manager, who holds the decisions, the contacts and the budget. That person becomes the mover's single contact.

2. Take stock of what goes ... and what stays

List your furniture, IT equipment, archives and stock. Use the opportunity to sort : a move is the best moment to let go of what you no longer use, and to sell or donate furniture that still has life in it. Less volume means a lighter quote.

3. Map the constraints at both addresses

This is what separates a smooth day from a wasted one, and the constraints are not the same everywhere in Belgium. Check both the departure and the arrival address for :

  • the presence of a goods lift or a passenger lift, and how much it can carry,
  • the width of entrances, corridors and stairwells,
  • parking options and whether you need to book a parking space with the local council (lead times and forms vary from one municipality to the next),
  • traffic restrictions : low-emission zone (LEZ), pedestrian areas, one-way streets, roadworks under way,
  • the hours when deliveries are allowed in the building.

The pressure points differ depending on where you are based :

  • In Brussels : the low-emission zone (LEZ), the pedestrian zone and the density of the city centre make it essential to book a parking space and check vehicle compliance before the day itself.
  • In Wallonia : the historic centres of Liège, Namur, Charleroi and Mons combine narrow streets, slopes and pedestrian areas, while business parks and industrial estates are easier to access but further away, sometimes with fixed site opening hours.
  • Elsewhere in Belgium : every city applies its own access rules and its own LEZ, Antwerp and Ghent in particular. Checking municipality by municipality remains essential.

4. Protect your IT equipment and your data

Your IT estate is the most sensitive item. Run a full back-up before dismantling anything, photograph the connections, label the cables and move critical parts separately. Confidential archives call for the same care : sealed boxes, traceability and restricted access, in line with your data protection obligations.

Some items simply should not travel in the removal van : a server, a high-value piece or a confidential file that has to arrive intact and at a precise time. For those shipments, a custom delivery in a dedicated vehicle remains the safest option.

5. Communicate internally and externally

Your teams need to know when to pack, what to label and where they will sit. Your clients, suppliers and partners need your new address and the transition dates. Also plan the update of your official records : Banque-Carrefour des Entreprises (the Belgian company register), VAT, insurance, bank, mail forwarding, website, email signature and Google Business Profile.

6. Plan the restart

A move does not end with the last box. On arrival, test the network, the phone system, the printers and the access controls straight away. Appoint someone who is reachable the next day for the unexpected, and keep some slack before any important client meeting.

How much does a business move cost in Belgium?

There is no single rate for a professional move : the price is worked out case by case, based on your actual project. Seven factors drive the amount on your quote :

  • The volume to be moved, in cubic metres or in office floor area.
  • The distance between the departure and arrival addresses.
  • Access at both sites : floors, goods lift, carrying distance, parking.
  • The level of service : transport only, or packing, dismantling and reassembly included.
  • The type of equipment : standard furniture, IT estate, archives, specialist equipment.
  • The timing : weekdays, evenings, weekends or public holidays.
  • How urgent it is : a move planned weeks ahead costs less than an operation put together in a few days.

Two habits that keep your budget in check : reduce the volume by sorting beforehand, and book early (September and October are the busiest months).

How do you keep disruption to your business to a minimum?

The aim is not to move fast, but to move at the right time. A few simple principles :

  • Move outside office hours : Friday evening, the weekend or late in the day, so your teams walk into working premises on Monday.
  • Work in phases if it suits you, keeping part of the team operational.
  • Allow a buffer day between the move and a full restart.
  • Plan for remote working on the critical days.
  • Hand the operation to teams used to professional constraints, rather than asking your staff to carry boxes.

During the transition, your two addresses often run side by side : there is post to collect, a live file to bring over, equipment left behind in the old office. A one-off express delivery in Brussels saves your people improvised trips just as the business gets going again.

Professional mover or in-house organisation?

Using your own teams looks cheaper. In practice, the maths rarely works out : unproductive hours, uncovered risk of damage, no handling equipment and a project that drags on. A mover for businesses brings three things you cannot improvise in-house : teams trained in loading and unloading, the right equipment, and clearly defined liability if something is damaged.

At Alpha Express, that know-how rests on more than 30 years of B2B transport in Brussels and across Belgium. You keep a single point of contact, from the first call to the confirmation that you are fully set up. Find out more about our business moving service.

Frequently asked questions about business moving

How far in advance should you organise a business move?

Allow two to six months for mid-sized offices, and longer for a warehouse or an industrial site. That timeframe covers finding premises, notice periods, the inventory, the quotes and the IT preparation.

How much does an office move in Belgium cost?

The price depends on the volume, the distance, access at both sites, the level of service and the timing. The only way to get a reliable figure is to request a personalised quote once you have described the project.

Can you move your business without stopping work?

Yes, provided you plan. By working outside office hours and in phases, the interruption is usually limited to a few hours, or to a single weekend.

Who moves the IT equipment and the archives?

Those items should go to experienced teams. Workstations, servers and sensitive archives travel separately, with labelling, extra protection and traceability.

Can documents move between the old and the new address during the transition?

Yes, and it is highly recommended. A one-off express delivery or a regular Navette between the two sites saves your teams improvised journeys. You choose between the four options (Express, Jet, Jet+, Navette) according to how urgent the shipment is.

Which areas do you cover for a move?

Alpha Express handles business moves in Brussels, in Wallonia and everywhere else in Belgium, as well as across the border, for companies and private clients alike.
